Executive Secretary

Job Duties and Tasks:

  1. Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution.
  2. Manage phone calls and e-mail
  3. Open, sort, and distribute incoming correspondence, including faxes and email.
  4. File and retrieve corporate documents, records, and reports.
  5. Prepare agendas and make arrangements for committee, board, and other meetings.
  6. Make travel arrangements for executives.
  7. Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors.
  8. Compile, transcribe, and distribute minutes of meetings.
  9. Attend meetings in order to record minutes.
  10. Manage and maintain executives' schedules.
  11. Prepare reports, memos, letters, and other documents, using word, spreadsheet, and presentation software.


Skills Needed & Requirements:

  • Previous experience as a secretary or administrative assistant.
  • Excellent command of MS Office Package.
  • Very good command of English language.
  • High comunication skills
  • High presentation skills.
  • High time management skills and multitasking abilities.
